ROOM USE POLICIES AND RENTAL PROCEDURES

The Language Door classroom is available for use during the week for meetings or small classes.  The minimum reservation period is two hours.  When reserving the room, include time in your request for set-up and clean-up.  For information about availability, please contact us at 503-641-7950, 70.89.177.177 VP or info@thelanguagedoor.net

The classroom is approximately 22 feet wide by 28 feet long and features one wall of windows.  The room can seat up to 35 people, lecture style (chairs only) or up 20 people, classroom style (tables and chairs).  The room has two white boards, a table for the presenter, and a projection screen which are included in the rental cost.   The room is also hard-wired for internet access.  Wireless internet will not be accessible.

Restrooms and a drinking fountain are located outside The Language Door suite and across the hall.  The Language Door classroom and building restrooms are wheelchair accessible.  Handicap parking spaces are available.  Several 110-volt electrical outlets are located around the room.  Cooking is not permitted in The Language Door. 

Room Rental Fees:

The rental rates shown below are hourly rates.  Fees charged will be based on ½ hour increments.  The minimum reservation period is 2 hours.  Include set-up and clean-up time in your reservation request.

Making a reservation:

  • All reservations require submission of a Room Use Application.  The person signing the application must be present at the event and will be responsible for ensuring the room use policies and procedures are followed. 
  • Applicants must be 21 years of age or older.
  • Reservations may be made up to three (3) months in advance and must be made at least two (2) weeks in advance.
  • Verification of liability insurance held by the organization or individual renting the classroom is required with Room Use Application.
  • Reservation requests must include a $25 non-refundable deposit to hold the space.  Upon approval, the remainder of the balance will be due within ten (10) days of notification. 
  • If the rental fee has not been received during the ten day tentative reservation period, the room will be released and made available to others.

 

Policies

  • Refreshments: You may provide light refreshments during your event and are responsible for all set-up and clean-up.  You are responsible for providing napkins, plates, cups, etc.  Alcohol, dark juices and full meals are not permitted.  (There are several restaurants within walking distance of The Language Door.)
  • Activities must not be disruptive to others present in the building.
  • Ten (10) tables (18” x 60”) and 40 chairs are provided in the classroom, as well as two, white boards, one projection screen, and two elevated platforms (36” x  42” x 8”). 
  • Office supplies and office support are not provided.  Office equipment, including telephones, copy machine, fax machine, computers, microwave, and supplies are not available for use. 
  • No audio or visual equipment is provided other than two white boards and one projection screen.
  • The room will be left as found.  Chairs and tables will be put away and the carpet will be left litter free and in its original condition.  Trash and recycling that does not fit in the cans provided will need to be taken with you. 
  • Parking is allowed in designated parking spaces. 
  • Use of open candles, flames, confetti and glitter are not allowed in the classroom.
  • No items may be affixed to the walls with the exception of self-adhesive flip-chart paper.  Tape, glue, paste or other similar products may not be used.
  • Smoking is prohibited in the building.  Smoking is allowed outside, at least 20 feet from entrance.
  • All publicity must carry the name of the organization/individual sponsoring the meeting or class.  The Language Door shall not be identified or implied as a sponsor. 
  • Failure to follow these Policies and Procedures may result in room use privileges being suspended.

Liability:

All groups or individuals using The Language Door classroom agree to take appropriate measures to protect, indemnify, and defend The Language Door and its employees against any and all claims as a result of persons attending any function at the facility.  The provision includes any expenses incurred by The Language Door defending any such claim.  The Language Door and its employees will not be held responsible for any lost or stolen articles as a result of persons attending any function at its facility.

Verification of organizational and/or individual liability is required with Room Use Application.

Cancellations:

Cancellations must be submitted in writing at least 4 business days prior to the first day of the scheduled event.  A $25 cancellation service fee will be retained for each event.  All fees will be forfeited for cancellation received less than 4 days prior to the event.

The Language Door will make every effort to keep all reservations in tact.  In the event that The Language Door needs to cancel an event, every effort will be made to reschedule your event.  If this is not possible, all fees will be refunded.

Submitting and Application:

The application, verification of liability insurance, verification of non-profit status if applicable, and non-refundable deposit, payable to The Language Door, may be mailed to The Language Door, P.O. Box 23998, Tigard, OR 97281-3998 or delivered to The Language Door,
8285 SW Nimbus Ave., Suite 112, Beaverton, OR 97008.   Payment may be made with check, cash, or money order.
